Penny Purchasing

Send one line. We take it from there.

A managed purchasing and procurement service for engineering and science teams. Send a line, link, part number or photo; we source it, buy it and get it to your door.

Scroll, or press Next, to follow one order from that line to its reorder.

Somebody on your team is already doing this job badly.

Not because they're careless. Purchasing isn't what they were hired for, and it doesn't fit between experiments.

  • It lands on the wrong person. Chasing a vendor for a delivery date is an afternoon an engineer did not join you to spend.
  • Or it becomes a hire. A purchasing specialist on the payroll before you have enough buying to fill their week. We are that person, shared.
  • Nothing is consistent. The same part from three vendors at three prices, because nobody kept the record.
  • And it's invisible. Ask what the lab spent last quarter, by vendor, and the answer is a credit-card statement.

It fills itself in, and asks one question.

Penny fills in each part of a request from past orders, vendor settings and your team's history. It asks about the one thing it cannot work out, and nothing else.

Approved, then bought on the vendor's buy day.

Approved items wait for that vendor's buy day and go out together, with a total for the day. The people buying are engineers and scientists themselves, who have spent a long time doing their own purchasing.

Vendor confirmation

Chasing it is our job, not yours.

When something slips, we chase the vendor. The emails, the phone calls, the order confirmations, the "where is it", the returns and the replacements all sit with us.

Five stages, and a line saying what happens next.

Every request sits on the same track: requested, approved, bought, shipped, received. Beside it, one line of plain English says what happens next, so nobody has to ask where it is.

  1. Requested
  2. Approved
  3. Bought
  4. Shipped
  5. Received

Next: held at the carrier; we chased it and it is moving again.

Somebody opens the box. One choice checks it in.

Parcels arrive at your door, so somebody at your end still has to open the box. Checking it in is one of four answers: all arrived, fewer arrived, damaged or wrong, not here yet. The likely answer is already picked, and the person who asked is told.

A spend record that says how solid its figures are.

We invoice you on the rhythm you want: daily, every second day, weekly. The spend record shows total, goods, shipping, tax and waste, by vendor over time, and tells you plainly which figures are actual costs and which are still estimates. Your purchase history is yours.

Then it comes back before you run out.

Every order you place with us becomes history we keep. Things you buy on a rhythm come back to you as a proposal before you run out. A proposal is a suggestion, not an order: nothing is bought until somebody on your side says yes. Things you are still thinking about wait as drafts on a wishlist, and go in together as one bill of materials.

Proposal: reorder

Where the money goes today.

Purchasing costs you in three places that never show up on one line: the hours your engineers spend ordering and chasing, the price drift when nobody remembers what you paid last time, and the parts bought wrong or twice. We take the hours, keep the price history, and check every line against it.

Not every line is this tidy.

Some requests are barely a line at all. These are the harder jobs, and they get the same service.

Before your first line.

Do you work under NDA?
Yes.

What you buy says a lot about what you're building. Send us your NDA with your first request, before any part numbers change hands.

Who decides what gets bought?
You set the rules.

Assign a reviewer on your side to approve requests, or let us review each one for specifics and escalate anything big to you. Quotes come to you for review, or you set a budget we buy under, and a reorder is only a proposal until someone on your side says yes.

How do we pay?
One invoice, from us.

In CAD or USD, on the rhythm you choose: daily, every second day or weekly. It goes straight into your accounting instead of a card statement spread across a dozen vendors, and the spend record shows which figures are final.

What if you buy the wrong part?
That's on us.

If we get a part wrong, we pay for it, not you. Checking each line against what you have bought before is how we try never to.

Whose purchase history is it?
Yours.

Every order, vendor and price we record for you belongs to you. Take it with you and use it however you like.

What does it cost?
There is no published price.

Tell us roughly what you buy and from how many vendors, and we will give you a real number.

Your line. Or your worst one.

Send one part you need this week, or the worst thing on your purchasing list: the part nobody can identify, the vendor who stopped replying, the order that was due a fortnight ago.

Purchasing done by engineers and scientists, for engineers and scientists. We know why the part number matters and why a two-week slip stops an experiment. What we take off your plate is a whole person's job, without you having to find, hire and keep that person busy.

Penny Purchasing is run by Talis Intelligence, in Toronto, Ontario, Canada.

What happens next. We take the first step the same day: we reply and ask what we need to know: your vendors, where things ship, and whether you want quotes to review or a budget we buy under. Nothing is bought until that is agreed.

It goes to info@pennypurchasing.com. Attach a photo, a link or an NDA if you have one. If the button doesn't open your mail app, write to that address directly.
